Reservation Contracts and Billing
|
|
Mount Olivet Conference & Retreat Center is not obligated to hold space, either housing or meeting areas, for any group that does not return a signed contract and deposit by the date stated on the contract. Signed contracts and deposits are due 20 days after confirmation of the reservation.
A deposit equal to 30% of the total anticipated invoice is required to reserve space for a group. The deposit is credited to the final bill at the conclusion of the event.
Final billing will be based on either the per person retreat and conference fee multiplied by 100% of the 10-day guaranteed number of participants; per person retreat and conference fees multiplied by 100% of the actual participant attendance; or 80% of the total projected invoice, whichever is greater.
Payment must be received at the Mount Olivet Conference & Retreat Center within 10 days of the receipt of our statement.
All groups assume the responsibility for damages beyond normal wear and tear to the facilities on the part of their group members. When applicable, a damage deposit will be assessed. If the cost of any damage repair exceeds the damage deposit, you will be billed for the balance. The damage deposit will be credited to your statement if no damage has occurred.
Conference room check in and check out times will be agreed upon in advance and stated in the contract.
Sleeping room check in is 3:00 p.m. and check out is 10:00 a.m. unless other arrangements have been made with the Conference Services Manager prior to arrival.

Cancellation
|
|
In the event of cancellation at least 90 days prior to the scheduled event, the deposit will be returned minus a $100.00 administrative fee.
In the event of a cancellation made less than 90 days, but more than 60 days prior to the scheduled event, the group will be given one week to reschedule the event. If another date is selected, the deposit less the $100 administrative fee will be transferred to the new date. If the event is not rescheduled, the entire deposit will be forfeited. This accommodation will be offered only one time per group/event.
If the cancellation is less than 60 days but more than 30 days prior to the event, the entire deposit is forfeited.
If the cancellation is less than 30 days but more than 10 days prior to the event, the entire deposit is forfeited and the group will be billed for an additional 20% of the total projected invoice.
Cancellation after the 10-day guaranteed number of participants has been committed will result in forfeiture of the entire deposit and additional billing per the terms of the contract.

Office Assistance
|
|
The office is normally open from 8:00 a.m. – 4:30 p.m. Monday through Friday, and from 8:00 a.m. – 1:00 p.m. on Saturdays.
Guests needing assistance after the office is closed should call the manager on call at 952.201.1663. Emergency medical assistance may be obtained by calling 911.
Telephones for guest use are available in the Resource Room and in the lower level hallway of Ruth Youngdahl Lodge and on the upper floor of Ruth Cornell House. There is no charge for calls to the Minneapolis/St. Paul metro area. Long distance calls require a credit card or calling card. Calling cards are available for purchase at the front desk.
Incoming messages will be posted on the bulletin board outside the dining room. We will not interrupt your meeting unless requested to do so. After hours emergency calls can be directed to the On-Call Manager at 952.201.1663.
Wireless high-speed internet is available in the Ruth Youngdahl Lodge and the Chapel. A computer with internet access and printer is available for guest use in the Resource Room.
Printing from the Resource Room, faxing, photocopying and other business services are available at the front desk for a nominal fee.

Facility
|
|
Meeting areas are assigned to groups as required by group size, needs and availability. MOCRC staff will gladly arrange your conference space to accommodate your group’s needs and activities.
Common areas – the Library and Lounge at the Ruth Cornell House, the Prayer Chapel at the Ruth Youngdahl Lodge, and the Gazebo - are available to all guests as a shared amenity.
You are welcome to use our Chapel for worship for individual prayer and reflection when it is not scheduled by a group as their conference space. Worship times may be scheduled three weeks in advance with the Conference Services Manager or the Receptionist.
Meeting room furniture may not be moved outside of the buildings.
Please do not use labels, scotch tape, masking tape, tacks, etc. on the walls, windows or doors. We will provide you with easy release tape for that purpose if needed.
The Trillium Dining Room is strictly for guest meal service and is not available for group programs or activities without prior approval of MOCRC staff.
Furnishings, beds and bedding are not to be moved or removed by guests in the overnight rooms. A staff member will move any furnishings that may be required. A charge will be incurred for items that must be returned to their proper location.
For health and sanitation reasons, food is not allowed in the sleeping rooms in the Ruth Cornell House.
On the day of departure, guests are asked to strip their bed of sheets and pillow cases, place them along with used towels next to the door of their room and prop the door open so that housekeeping knows the room has been vacated. Remove all personal items and turn keys in at the reception desk no later than 10:00 a.m.
Please help us conserve energy! Turn off all lights, close windows and turn off the heating/cooling unit before leaving your sleeping room. In conference rooms, please make sure doors and window are closed when the heat is on and turn off lights and fireplaces when you leave.
Maintenance needs should be reported to the MOCRC office as soon as possible.

Recreation
|
|
No firearms, fireworks, ATVs (this includes all cross-country motorized vehicles), skateboards, scooters, rollerblades or roller skates are to be used on the grounds or trails.
Adults must supervise young children using the playground equipment.
Swimming pool time is scheduled with the Conference Services Manager before arrival or with the reception desk during your stay.
Youth groups may use the swimming pool only when adult chaperones are present.
The swimming pool, whirlpool and sauna have been provided for the enjoyment of all groups.
The regulations posted at the pool are for your safety. Group leaders are expected to discuss the scheduled pool times and regulations with their group, specifically:
- MOCRC does not provide lifeguards in the pool or adjacent areas.
- Children must be supervised at all times by adults.
- All swimmers must shower before entering the pool.
- Participants must wear swimsuits: no cutoffs allowed.
- Infants and toddlers must wear disposable swim trunks.
- Running and pushing are prohibited.
- No glass in the pool area.
- Children under 14 are not permitted in the whirlpool or sauna.
- For their own safety, adults should not remain in the whirlpool for more than six minutes at a time.
Other activities and equipment include a game room (pool table, ping pong table, foosball), basketball, football, nature trail and marsh walk, bocce, volleyball, Frisbee and tennis. Equipment is available upon request. Board games and playing cards are also available.
A supervising adult from your group must be in the game room on the lower level of Ruth Cornell House and supervising at all times when youth members of your group are using it.

Behavior
|
|
The use of alcohol and non-prescription drugs is prohibited.
No pets are allowed on MOCRC grounds or trails.
All of the MOCRC buildings are smoke-free. Receptacles for cigarette butts are provided by the door of each building.
Please observe quiet hours in the overnight lodge from 10:00 p.m. – 7:00 a.m.
We ask that you respect other retreat groups and their property, as well as the Center’s property and equipment.
No food or cooking appliances can be brought into the MOCRC facilities.
No amplified music is allowed without prior approval.
MOCRC reserves the right to remove any persons from its property who, at the sole discretion of MOCRC, are unauthorized, who are creating an unnecessary disturbance, or who are jeopardizing the health, safety and rights of other guests.
MOCRC reserves the right to prohibit or stop activities or events that in our judgment present a danger to its property and its guests.
MOCRC assumes no responsibility for loss or damage of personal property. Participants are responsible for safeguarding their possessions.
Medical and accident insurance is not provided by MOCRC for guests. Insurance is the responsibility of the group or individual using the facilities.
